SplitQuota

Shared cost allocation with an auditable calculation trail.

SplitQuota run screen: a plant’s expenses with the allocation basis, the amount and the formula on each line.

The product

SplitQuota splits shared expenses such as rent, power, administrative payroll and software licenses across cost centers. It is a Trentin Software product, live at splitquota.com.br with a free plan.

It is built for controllers, finance managers and management accounting teams at companies with branches, units or holding structures. It does not replace an ERP, accounting software or BI: it covers the step between recording an expense and the final report per cost center.

The problem

At many companies, the monthly allocation lives in a spreadsheet that only one person understands. At month-end close, someone has to explain why each cost center got its amount, and the spreadsheet rarely keeps that explanation.

What works today

  • Rules per expense type

Each expense uses one basis: square meters, headcount, revenue, custom weight, equal parts or a fixed percentage. A rule is set once and applies every month. Support centers are reallocated in a second step.

  • Calculation trail

Every allocated line stores its formula, the basis totals and the calculation date.

  • Approval and history

A period moves from draft to run, approval and publication. To revise an approved allocation, the period is rerun with a justification and the approved version stays untouched.

  • Budget vs. actual

A month-end dashboard with the month’s entries, open items and each cost center’s variance against budget.

  • Import and export

Cost centers and expenses come in by hand or from an XLSX file. Reports go out as XLSX or PDF, depending on the plan.

  • Verifiable documents

Exported reports carry an authenticity code that anyone can check on a public page.

Documented technical decisions

Approved allocations are immutable
Revising a period creates a new run with a justification and keeps the approved version. The close history stays auditable.
The formula is stored on every line
The calculation trail is saved with the amount, so the report explains the number without relying on whoever wrote the rule.
Two-step allocation
Expenses go to cost centers first; support centers are reallocated afterwards.
Data isolated per organization
Each organization sees only its own data, and paid plans allow several users.
